Group Headshots Made Easy — A Guide to Scheduling Your Team

If you’ve never organized a group headshot session before, it can be easy to underestimate the importance of smooth logistics.

If you have done this before, then you probably know there can be many moving pieces there are to coordinate.

Online Scheduling

We don’t want you to stress about organizing schedules, tracking people down, or managing busy calendars, so we offer a simple way to handle scheduling for you.

Rather than collecting everyone's availability through email, we create a simple signup page that lets each person choose a time that works for them.

Individuals are taken to online scheduler to choose from a list of available time slots. At that point, they can also select whether they would like to opt in for hair and makeup if this option was included in the booking.

Confirmation

Upon booking, individuals receive email confirmation along with a link to our prep guide which contains all the information they’ll need to prepare: wardrobe tips, hair and makeup considerations, and general best practices for making the most of their time.

We understand how important these images become over the next few years — and at the same time, how little practice most people have when it comes to doing the thing. So included on the prep guide is an open invitation for all individuals to reach out ahead of time with any questions or concerns.

Express Sessions

Sometimes, individuals are unable to attend the group session—they're sick, pulled into an unexpected meeting, or simply hadn't joined the company when the session took place.

Rather than waiting until the next company-wide headshot day, corporate partners can easily schedule new hires and missed employees to be photographed at our Loop studio.

Since the company's headshot style is documented, we can ensure their headshots remain consistent, even if they weren't all taken on the same day.

Other Scheduling Options

Every company has a different way of organizing internal schedules. Some prefer a shared signup page, while others coordinate everything internally. Either approach works, and we are happy to adapt to whatever process is already working for your team.
